Accounting
Our company offers a comprehensive service for property owners and managers, specifically designed to handle all aspects of common area maintenance. Our services include the preparation of annual common area maintenance budgets for owner review and approval, completed within the first 90 days of each calendar year, or in compliance with individual leases. We also handle the preparation of all common area maintenance invoices, as well as the annual common area maintenance reconciliations.
Our team is highly skilled in maintaining complete and accurate records and ledgers, and we maintain a bank trust account for the deposit of all receipts at the financial institution of the owner’s choosing. Our services also extend to rent collection, including all additional rent pursuant to leases and other controlling documents.
In addition to the above, we can handle the payment of debt services, if requested. We provide monthly and year-to-date reports, including Budget vs. Actual Report, General Ledger, Cash Receipts Report, Check Register Report, and Bank Statement and Reconciliation. Our accountancy services also cover Aged Receivables Report, Aged Payables Report, Rent Roll, Lease Expiration Report, Lease Options/Renewal Report, Tenant HVAC Maintenance Contract Report (if applicable), Tenant Insurance Report, Tenant Sales Reports (if applicable), and Year-end Trial Balance.

Risk Management

Property Risk Assessment: Our team of experts conducts a thorough property risk assessment to identify potential hazards and vulnerabilities, such as natural disasters, security risks, and structural issues. We provide a detailed report with recommendations for risk mitigation measures.
Risk Mitigation: Based on the risk assessment, we work closely with you to develop a customized risk management plan that outlines strategies and procedures to mitigate the identified risks. We provide ongoing support to ensure that the plan is implemented effectively.
Incident Response: We develop an incident response plan that outlines the procedures to follow in the event of an incident, such as a natural disaster or property damage claim. Our team is available 24/7 to provide support and guidance during emergencies.
Regular Inspections: We conduct regular inspections of your properties to identify potential risks and hazards. We provide recommendations for maintenance and repairs to mitigate these risks.
Operational Management
- 24 hour-per-day, 7 days-per-week availability
- Continuous monitoring and analysis of operating expenses
- Contracting, supervision and logging of all vendor maintenance and repair on the property, including tenant HVAC maintenance compliance
- As agent of owner, conducting routine, proactive inspections, providing recommendations for necessary repairs, careful review and approval of all property-related invoices, and negotiating and entering into vendor service agreements
- Managing tenant relations by addressing all requests, questions and complaints in a professional and timely manner and maintaining a high level of visibility and familiarity with tenants
- Logging and reporting all property activity on a monthly basis, including all tenant communication, property-related invoices and projected maintenance issues
- Preparation, recording and posting of Notices of Non-Responsibility
Administration
- Lease enforcement to ensure compliance with all lease provisions by tenants or parcel owner
- Active monitoring of all accounts receivable, including enforcement of late fees, collection of delinquencies, and commencement of legal action (subject to approval of owner)
- Cooperation with property manager to maintain amicable and professional relations with tenants
- Professional correspondence with tenants regarding lease compliance
- Preparation of lease outlines for all tenants
- Documentation of all lease correspondence and/ or notices served to tenants or parcel owners
